Plain English. What data we collect when you visit lightningvoip.com or submit a form, how we use it, who we share it with, and what your rights are.
The short version
- We collect the info you give us through forms (name, business name, email, phone, address, what you're shopping for).
- We use Google Analytics and HubSpot to understand how the site is used and to follow up with you about quotes you request.
- We do not sell your personal information.
- If you're a customer, we share your info with the carriers who provide your phone or internet service. That's how the service works.
- You can ask us to see, correct, or delete the data we hold on you any time. Email info@lightningvoip.com.
Who we are
LightningVoIP is a Brooklyn-based business phone, internet, and managed IT provider serving small businesses across all five New York City boroughs. When this policy says "we," "us," or "our," it means LightningVoIP. When it says "you" or "your," it means the person visiting our website or using our services.

What this policy covers
This policy applies to lightningvoip.com and any related subdomains we operate (for example, portal.lightningvoip.com if you log in there). It also covers how we handle personal information you give us through forms, email, phone calls, or in person.
This policy does not cover third-party websites we link to. Those sites have their own privacy policies. Read them before you give those sites your information.
Information we collect
Information you give us directly
When you use our forms or contact us, we may collect:
- Your name (first and last)
- Your business name
- Your business email address
- Your business phone number
- Your business address and ZIP code (when you're requesting internet service or an on-site visit)
- Information about your current phone service (number of lines, current provider, plans you're interested in)
- Any free-text messages you send us through the contact form or by email
Information collected automatically
When you visit our site, our hosting and analytics tools collect:
- Your IP address (used for security, geolocation at the city level, and bot detection)
- Your browser type, operating system, and device
- Pages you view and how long you spend on them
- The website or search you came from (referrer)
- Cookies and similar technologies (see the Cookies section below)
Information we receive from carriers and partners
If you become a customer, we receive billing and service usage data from the carriers who deliver your phone and internet service. We need this to bill you correctly and troubleshoot issues.
How we use your information
We use what we collect for these purposes:
- Responding to your inquiries. When you submit a form, we use the info to prepare a quote, schedule a call, or answer your question.
- Delivering service. If you become a customer, we use your info to provision phone numbers, schedule installs, bill you, and provide support.
- Improving our website. Analytics data tells us which pages are useful and where people get stuck.
- Following up. We may send you a follow-up email or call if you submitted a quote request and we have not heard back. You can opt out anytime.
- Marketing communications. If you opt in, we may send occasional updates about new services or relevant offers. Every marketing email includes an unsubscribe link.
- Legal and security obligations. If required by law, court order, or to defend our rights and the safety of our customers and team.
Who we share your information with
We share information only with the partners we need to run the business. We do not sell your personal information.
We do not sell, rent, or trade your personal information to third-party marketers.
Cookies and tracking technologies
Our site uses cookies and similar technologies for these purposes:
- Essential cookies. Needed for the site to work. These remember your form progress and protect against bots. You cannot opt out and still use the forms.
- Analytics cookies (Google Analytics 4). Help us understand which pages people read. You can opt out by installing the Google Analytics opt-out browser add-on.
- HubSpot cookies. Help us track which leads came from which form. If you submitted a quote request, HubSpot uses cookies to associate your follow-up site visits with your contact record.
- Bot protection (Cloudflare Turnstile). Runs in the background on form pages to block automated abuse. Does not track you across sites.
You can control cookies through your browser settings. Most browsers let you block third-party cookies, clear cookies on close, or browse in private mode. Note that blocking cookies may break some site features.
Your rights and choices
Right to access, correct, or delete
You can ask us to:
- Tell you what personal information we have about you
- Correct any inaccurate information
- Delete your information (some records may be retained for legal or accounting reasons)
- Stop using your information for marketing
To exercise any of these rights, email info@lightningvoip.com from the email address on file. We will respond within 30 days.
If you are a California resident (CCPA / CPRA)
You have specific rights under California law:
- The right to know what categories of personal information we collect and how we use them.
- The right to delete personal information we have collected.
- The right to correct inaccurate information.
- The right to opt out of the sale or sharing of personal information for cross-context behavioral advertising. We do not sell or share personal information in that way.
- The right to not be discriminated against for exercising these rights. We will not refuse service, charge you a different price, or otherwise penalize you for asking.
To make a request, email info@lightningvoip.com. We may need to verify your identity before fulfilling the request.
If you are in the European Union or United Kingdom (GDPR)
You have the rights of access, rectification, erasure, restriction of processing, data portability, and objection. Our legal basis for processing your information is one of: your consent, contract performance, our legitimate business interest, or legal obligation. To exercise these rights, email info@lightningvoip.com. You also have the right to file a complaint with your local data protection authority.
Email communications and CAN-SPAM
If you receive a marketing email from us, every email includes an unsubscribe link in the footer. You can also reply with "unsubscribe" and we will remove you from our marketing list within 10 business days, as required by U.S. CAN-SPAM law. Transactional emails (quote replies, install confirmations, billing) are not affected by unsubscribing; we still need to send those to deliver service.
How we secure your information
We take reasonable steps to protect your information:
- The site runs over HTTPS with TLS encryption.
- Form data is sent to HubSpot over encrypted connections and stored in HubSpot's SOC 2 Type II compliant systems.
- We limit access to customer data to the team members who need it to do their jobs.
- Bot protection (Cloudflare Turnstile and form spam detection) blocks automated abuse of our forms.
No method of transmission over the internet is 100% secure. While we work hard to protect your information, we cannot guarantee absolute security.
How long we keep your information
We keep information only as long as we need it for the purposes described in this policy:
- Quote requests: kept in HubSpot for up to 3 years from the last activity, then deleted unless you become a customer.
- Customer records: kept for the duration of your service plus 7 years for tax and accounting purposes.
- Web analytics: kept for 14 months in Google Analytics, then aggregated and anonymized.
- Backups: customer data backups are retained on a rolling 90-day basis and then permanently deleted.
Children's privacy
LightningVoIP is a business-to-business service. Our site and services are not directed to children under 13, and we do not knowingly collect information from children under 13. If you believe we have collected information from a child under 13, please contact info@lightningvoip.com and we will delete it.
Changes to this policy
We may update this policy from time to time to reflect changes in our practices or in the law. When we do, we will update the "Last updated" date at the top of this page. For material changes, we will provide more prominent notice, such as a banner on the site or an email to existing customers.
